RFQ Quality Review

A short guide for turning a vague supplier request into comparable quote data.

A weak RFQ produces weak judgment.

If suppliers receive vague or inconsistent requirements, their quotes will not be comparable. The buyer may think it is comparing suppliers, but it is actually comparing different assumptions.

RFQ fields to standardize

  • Product specification
  • Materials and tolerances
  • Certifications or testing requirements
  • Target quantity and annual volume estimate
  • Packaging expectations
  • Delivery terms
  • Required lead time
  • Payment terms
  • Sample expectations
  • Quality documentation
  • Quote validity period

Output quality

A good RFQ should produce quote data that can be compared, challenged, and reused. It should also reveal how suppliers think, communicate, and handle ambiguity.
